Hey guys, I just wanted everyone to know I am extremely sorry for not being able to attend the leadership meeting. I feel as if I have let myself down and more importantly a lot of you. I am still as dedicated as ever to Southern and the causes that we support as an organization. I'm sorry I couldn't have gotten on here sooner. I have seen a computer twice in 3 days and not more than 5 minutes at a time.
 
I hope this doesn't affect any working relationships or future friendships. I am sorry for not being there Ouch

So where do we stand? I know we had a few side things going on right now and I'm wondering what we can do.
 
At one time we were thinking of a new mission statement. I think we had a really good one created but what's the next step?
 
We also were creating a new list of reasons to join. Some people sent me in their top reasons and I these could definitely be incorporated into the website and TrailMix.
 
Lastly, I think we were trying to reconnect with the membership. Roger was working on getting names and contacts.
 
Was there anything else?

I'm an outsider looking in.  One thing you could look into doing especially if your having meetings where the distance to travel for some members is to far is having the meeting broadcast over the internet.  All you would need to do is have the meeting in a place that has high speed and have a laptop and a small webcam.  I use   www.ustream.tv

This way people could just login and watch and hear the meeting from anywhere there was a computer.  The website I have used allows this for free and also provides a chat box that allows your members to type in questions or comments during the meeting.  Also you can password protect it so only members who know the password can see the meeting.
 
Might be a way to get more members involved.  Also might try to get your clubs to get together somewhere local and watch the meetings together.  Certainly would help in building local club relationships.
 
Other things:(don't know if your already doing these thing)
 
Negotiate with sticker and t-shirt company and provide deep discounts to your clubs.  Maybe have a Southern art director position that can design the shirts and logos free for the clubs. Then have a certain small percentage go to Southern and be use to provide a t-shirt or such at one of the main events.
 
Negotiate with a few vendors to provide deep discounts.  (Summit racing, Jegs, etc....)  I'm pretty sure if you have a big enough member base they would provide you with a coupon code for savings in return for some sort of sponsor title.  The more members you have the more leverage you have.  The more leverage you have the more members you will gain.  Get it?  If you got 10 or 20 percent from just one of them, a member would be stupid not to join.  Heck I would join for that alone.  I spend a bunch of money with those two every year.  Also pretty sure there are some other big companies for specific vehicles.  I know there are a couple big Jeep catalogs out there.  Now is the time to solicit their business.  They are looking for any way to keep the money flowing even at a lower margin.
 
Support the local clubs events by providing services to them.  (planning and development, printing (banners, flyer's, e-blasts, etc.)
 
Don't know how your doing e-blasts and United might be already providing this.  But if not it's real cheap to have a service that you use to e-mail all of your members at the push of a button without clogging up someones e-mail account.  You can also do poles and find out what is important to your members.  I use  www.constantcontact.com  . Also I'm pretty sure most sites will provide some sort of demographics on who is actually reading the e-mails.  Also can provide visitors to your website a way to be able to want more info without signing up as a member right then.  (You can have a little box on your website for them to input information and it can get added to a list and allow you to advertise Southern as well as vendors to them)  This would help in providing another perk for vendors to be involved with you.  You build that list and you really will have something.  Might even look into buying an e-mail list of potential members.  I'm sure some company has a big list you can buy of people who are interested in ORV's.  Might also help in bringing in new members.  Could also let your clubs use this service to help get members in their area. 
 
I'm pretty sure also that vendors would be willing to pay money for a list of your members e-mails or your entire list.  Just another way of bringing in some income.  You members would be more interested in getting involved if they new the money would be spent on them.
 
I'm assuming Southern or United is already supplying the local clubs an e-mail list of members in their area that they might want to solicit?
 
Find a safety company that will provide products at a discount to your members. (fire extinguishers, first aid kits, etc....   Halls comes to mind.  
 
Other companies to solicit:  Paint supplier, trailer manufacturer, U-haul, AAA, etc...
 
And about me.  So you don't think I'm some tard.  I took my local Land Cruiser club from 40 members to 150 members in two years being President.  This year I'm the GSMTR chairman.  I'm sure most of you know who I replaced.  Roger has done a great job.  I think he wanted to focus on Southern and more on the fight to rescue Tellico.  Last year GSMTR had a little over 100 registrants.  This year I'm looking at doubling that.  I think I can do it with the backing of our 150 members.  If you provide a value to the participants they will come.  Even in a down economy.  Value and promotions are the keys to having a successfull club and events.
 
So in that I'd also like to say I see the officers are spending a big chunk of their time on the Rescue Tellico.  There is nothing wrong with that.  But if that is all you are doing and the club is not the main priority right now I suggest you start making some new positions in the club to help make sure you have the club taken care of first.  No way 3 or 4 officers can do Rescue Tellico and grow a club at the same time.  Not if you want those officers to stick around for very long.  Having your bylaws set up to allow for officers to designate certain individuals to lead up a certain task is the way to do it.  That way if that person falls down they can be replaced and you don't have to have an election.
 
Every club I have ever seen has a "what's the value" period.  What y'all are doing is nothing new.  Back in the day just being around people who shared your same passion was enough to gain membership.  In todays world that is not enough.  They want value the relationship has only become a part of the equation.  Just the way it is.

Thanks, Marshall.  I appreciate you taking the time to type all that out.  Sounds like some good ideas we need to consider.
 
You have done great with the Upstate Cruisers.  And, we need to learn from your experiences.
 
There is a Catch 22 in that it's hard to find people willing to do the work once good ideas are found.  Most of us who are passionate about Southern are maxed out.
 
You mention:

Thats a shame. 
 
We are doing what we can with volunteers.  We do not have a paid staff with 40 hours per week to provide customer service.  We are mostly old guys who care.  We have for over 20 years now. 
 
Its hard to find new blood.  Apathy is rampant.  People have 1,000 different things to worry about and are satisfied to let somebody else do the work. Some people would rather surf the Web than actually do anything productive to help keep our trails open.
 
Obviously there are exceptions, but they are becoming rare.  There is an attitude of "Hey I paid my annual dues, leave me alone." 
 
Writing a small check once a year pays for the Trail Mix, liability insurance, and trail supplies.  BTW, the cost to maintain a small fleet of heavy equipment ain't cheap.
 
Sorry for the rant.

Well Marshall, it appears we are all thinking the same way.  These "value" ideas were thrown around the leadership meeting this month in Chattanooga.  Just like businesses in this down economy, we need to find ways to offer service and value to our product...or we are out of business.  We have got to find a way to help grow the local clubs and be of service to them.  Without that grassroots activity on the homefront, the land use issues won't mean jack squat.  And vice-versa, with more soldiers on the homefront, the land-use issues will be easier to deal with because we will then have an informed, organized and vocal constituent base. 

I like the webcam idea.  Excellent.  Online resources are the only way to go with such a vast service area.  Communication, communication, communication.  I have built our OHV4TN citizen lobbyist email base over the past two years to a very respectable number...it has even outgrown my email capabilities so thanks for the heads-up on that resource.
 
My last and most repeated advice to all large non-profit, all volunteer organizations...you need one paid staff member to see that all the work gets done.  It is a fact that burn-out happens in all organizations.  You need that one resource to keep the ball rolling hell or high water or you are doing a disservice to your membership.
 
This is a critical year, let's become that organization that noone can do without.

Marshall, those are some great ideas and the results of your efforts show it. I'm sure we've all heard, "keep business and pleasure separate" and I've tried to live like that. I don't go wheel to keep thinking about what I need to do at the office but in this case it looks as if we need to merge the two more. I think Southern has done a good job in the past but I feel we need a more business like approach.
 
Just like you said, by offering incentives to be a member you're drawing in a new group of people and we must use the internet as a resource. Any smart business owner now knows the internet is a powerful tool. That's one reason I wanted to put together the online rally for Tellico. It drew out more people and let more people know nationwide the issues at hand. The small Tellico group I'm a part of has members not only from NC but from all across the nation.
 
In my opinion, we do need a person to continually keep the ball rolling on issues and projects. We also need to reorganize and restructure our leadership. What we need to do is start letting the President act like one. Presidents direct us and make top-level decisions. The pres would have people under his/her position to carry out and execute. There would also be boards/groups to take on issues dealing with other minor details. We may be asking too much from the upper leadership at this point. Roger or whomever needs to build his/her cabinet so-to-speak and give them projects to handle. That way he/she can focus on the bigger issues. Then the cabinet can report back with progress reports monthly.
 
Is it getting too business-like? maybe but I think it's what we need.
 
For example (what I think we need):
 
1) PR director (promotes membership, land use, Southern's participation around the Southeast, works directly with TrailMix and any other PR type stuff needed - newspaper, internet, etc.)
 
2) Membership director (takes membership, contacts clubs with updates, manages contact lists, emails/mails necessary stuff - essentially deals with clubs)
 
3) Event director ( works with event coordinators for TrailFest, Dixie Run and any other event that wants Southern support)
 
4) Pres, VP, Sec, Treas, etc.
 
If anyone has taken Del Albright's RTLC training you get the idea.

Honestly I think you could run into more trouble with having a paid Admin than one that is not.  And while it may be great on the outside it can cause hell behind the scenes.  Last thing anyone who is passionate about something is to see someone who is getting paid to do the same amount of work as someone who is a volunteer.
 
Only way to get more people involved and help you out is to pick up the phone and talk to them.  You cannot simply put out a post or e-mail and expect someone to volunteer.  People need to feel important.  A simple phone call settles that in most cases.
 
You don't have to turn your club into a business to be successful.  Most don't want to see the business side of a club.  It's important to make all that behind the scenes.  
 
If I were a member all I would want out of the club is to help a cause, have a good time and meet some new friends.  That being said in order for me to have that I should understand at some time I will have to put my dues in just like all the other officers and run the ship so they can do the same.
 
There is nothing wrong with having someone join the club and only want to participate online.  That is a value.  May not be what most would think of as a value but it is.  Everyone is not going to fit into the cookie cutter wheeler mold.  You just have to make sure your not being exclusive.  Some people like to be on the web, some wheelin, some running the show, being part of a cause and some just want to be part of something bigger.  The goal of the club should be to understand that and not discriminate against someone because they like only doing one certain thing.  I always have a motto.  "Something for everyone."   You do that and you cannot fail.
 
And as far as learning from my experiences.  I say I'd be very cautious listening to one persons view.  I'm not the majority.  I'm pretty sure y'all are capable of figuring out what works and what doesn't.  Nothing wrong with seeing another view.
 
Any discussion good or bad is always good in my book, because it keeps people involved.

Does anyone know if there is high-speed 'net available at Golden Mtn?  Im not sure if I can make the webmeeting thing come together by March 7, but there's no point in trying if there's no high-speed 'net onsite.  I may be able to borrow my Daughter's aircard if there is good Verizon cell service there, and make it work that way.  Is there Verizon coverage there?

Marshal is saying many of the same things that I was ranting about at the Leadership meeting.  We need to be establishing relationships with businesses and working to make joining SFWDA a no-brainer from an economic perspective.

Marshall, don't take what I said the wrong way. In no way do I think we should put that business image on the actual association that people join. Like I said before, when I go out for the weekend I don't want to have to think about office work and I think our membership should be the same way. However, for the leadership I think we need a new way of doing things. I agree with what you're saying.

You have some great ideas
many of them were discussed at the leadership meeting. We have been communicating with the clubs through a leadership list which I just updated to include 2 officers in each club, unfortunately we now realize that many of the officers have not been passing the information along to their members. So we have decided to build a good e-mail list and communicate to each member, the issue is that the many of the clubs have not submitted e-mail address for their members. John Craven has volunteered to contact each club to get up dated info and also get their club info in the Trail Mix and on the web site up to date.
That is the first step,the next step is to elect some one to the PR position at the next meeting and define his duties.
I am hoping that our new editor of the Trail Mix will have time to work with the advertisers to work out some discounts. We are also working on a price structure for the SFWDA events to give discounts to Southern members.
Everyone needs to remember that this is a volunteer operation and our people are doing this in their spare time, so changes will not happen over night, but as long as we maintain steady progress we can reach our goals.

What if one of you were to stop by a club's meeting or event?
My club back north belonged to an association for 2 years and did nothing but pay dues. One of the assoc officers came to a charity event we put on and next thing you know we made sure at least 2 people show up for assoc meetings and partake in their events as much as possible.
The internet is great for getting out info quickly  but it will never replace the value of facetime.

Internet: Not sure how it works or is possible. I notice on a lot of boards that they "can" have RSS feeds. Would it be possible to have feeds from this board (or a blog)go directly into say Pirate4x4, NC4x4, individual clubs, etc? Might save you time of physically posting it to other sites or relying on others to post the correct info. I know, you'd like to have people come here but I think that when you have boards as active as Pirate and NC, a lot of people don't feel a need to go outside them

The idea of having SFWDA Board members attend Club meetings has been seriously discussed.  And, all agree that "face time" is important.

But, the reality is that is is damn near impossible to get 7 volunteer Board members to travel to 31 Club meetings in 6 states in their "spare" time.
 
They already have jobs, families, and SFWDA duties.  They already attend 4 Quarterly meetings, 2 major events, and the Leadership meeting.
 
Our Web Master can answer the RSS question.  trailfest@sfwda.org

I never shoulda let this guy on the board.  LOL
 
This forum software supports RSS*, but honestly, Im not sure how you would weave that into Pirate or the NC4x4 boards.  I'll hafta think on that one.  RSS is usually a pull operation by the client, so Im pretty sure something on NC4x4 or Pirate would have to be configured to do the pull to their site.
 
* For our non-computer-geeks, RSS is Really Simple Syndication.

I dont disagree.  I am not a graphics person, heck Im half colorblind.

The website is about to be transitioned to a new hosting service.  Once that's done, we will be able to do a lot more with it.  Right now, I am kinda limited on my own willingness to make changes because managing those changes is a HUGE PITA.  The new host should fix that.

WRT the pics/format etc - I am more than willing to accept help or ideas.  And since no one is sending me pics, new pics is kinda difficult.

Oops, I hit that button
Anyway, I am a bit of a non colorblind graphics guy, have done some heavily graphics oriented sites. I'm not a wordsmith or programmer. If you'd like to collaborate on a redesign, I do have some time available while I figure out what I'm gonna do with the rest of my life.
